Who we are and what we do

The Network and Events Committee (NEC) is working on the most important ESN topics needed for the network to work smoothly and improve itself. One team takes care of a qualitative network development and the other team is in charge of supporting the organisation and conduction of meetings and improving them. It is also the supporting body for the Vice-President of ESN to manage all tasks and activities in his/her working field. Our goal is to create a big, strong and well-working network.

The Chairing team takes care of the Human Resources, recruits new members and helps them integrate into the committee by assigning them a NEC buddy. The NEC buddy system is a procedure in which a buddy (experienced member) provides a newbie with knowledge transfer, help and support. In order to get each other better we have our own NECBook. You can see all the members on Galaxy.

Network support

Section in the Spotlight

Section in the Spotlight is a project to promote an amazing ESN section every month to honour their work and give best practice examples for the other sections. Sections can apply to become Section in the Spotlight until the 20th of each month. The project team evaluates the applications received and chooses the winner on the 1st of the following month. The chosen section is promoted on www.esn.org, in the eXpress Magazine and in the ESN Newsletter as well as in the ESN International informal facebook group.

STAR Awards

The ESN STAR Awards were born in 2008 to reward the best projects, activities, sections, and countries of the ESN network. It wants to encourage sections to show engagement, great ideas and to motivate other sections and ESNers to come up with great ideas in different fields. The winners of the ESN STAR Awards are announced during the Gala dinner of the Annual General Meeting of ESN. The project is managed by NEC and conducted in cooperation with the other International Committees. Teams from each committee evaluate the applications in the categories which are closely related to their working fields. The. NEC team is responsible for evaluating the STARter, the best newcomer section.

Gift Exchange

Gift Exchange is a Christmas project of NEC. For this very special time of the year, we invite sections to participate in a unique ESN activity, exchanging gifts with another section in the network. The project team is responsible for registering the sections that want to take part in the project, pairing them and collecting feedback.

ESN CV

The aim of this project is to increase visibility of the volunteering work and activity of ESN members. As an outcome of this project every individual member of ESN will be able to create and print his/her own ESN Curriculum Vitae containing the information about his/her activity inside the network and skills he/she attained. To make this possible, a specific IT tool in connection with Galaxy needs to be implemented. Members of the working team defined the content of the ESN CV and prepared the functional design. After the implementation by IT Committee we will also take part in testing. This project is done as the cooperation between three Committees: NEC, ICE and IT.

Network management and development

SQ - Section Questionnaire

The Section Questionnaire has to be filled in by every ESN section once a year. It is a mean of gathering information for the international level,analyzing the network and how is it working/improving. The SQ report is written once a year. The project team starts analyzing the data in November.

SQuiD - Section Quality Development

The aim of this project is to prepare a list of quality indicators. Then, using the Section Questionnaire 2012, the project team obtains the information directly from the sections on how they fulfil certain indicators. By analysing the answers from the SQ, the project team will localise problems in the quality of sections with respect for the differences in the network. Afterwards the team will write their recommendations for all countries.

SeCS - Section Cooperation Support

There are many types of cooperation between the sections in the ESN-Network (Sections in Big Cities, Sister Cities, Cross-Border Cooperation, ”one event” oriented partnerships, Section Meetings). To promote, support and improve partnerships between the sections the SeCS project was created. The project is divided into three parts:

  1. SeCS eXpress - collecting and choosing the articles about best practices in cooperation (every three months)
  2. SeCS Guide:  writing guidelines about section cooperation
  3. SeCS map: creating the list of partnerships, Search engine - preparing the new IT tool.

National Board Buddy System

In order to strengthen the National Boards and help them in the process of self-development, the NB Buddy System was invented. The project aims in matching every NB with another NB in the network. These two NBs should cooperate by sharing good practices, visiting each other’s NP, advise each other, etc. The project coordinator prepares the Buddy matching for each NBM, collects the feedback from NBs and analyses the NB Questionnaire.

Associate Memberships Management

ESN has two associate Members - Santiago Exchange in Chile and ISN Tunduk in Kyrgyzstan. The project coordinators assist the Vice-President of the IB in keeping a good communication with them and helping them to develop.

Network Knowledge Management

Section Guide

The Section Guide is a manual meant for the members of all ESN sections. It contains theoretical background information combined with the best practice examples from the whole network on how to manage a section. Moreover, the Section Guide contains important information about ESN, student mobility and higher education.

Team-building Guide

The Team-Building Guide will be a set of team-building games, that can be used by a section or the OC of an event. Using those games, one can create a more friendly atmosphere to make the team work together in a better way. The project team is collecting the games and finalizing the writing of the guide.

Newbie Guide

The newbie guide is a manual meant for the new members of all ESN sections. This is a project organized in cooperation between ComCom and NEC. Every year, the newbie documents are updated.

NB Guide

The NB Guide will be a manual meant for the NB members as well as the countries that want to establish an NB. It will include guidelines on how to organise an NP (SE, FI), how to establish a NB, NB standing orders templates (what they have to include), how to commuicate with many sections, the NB Buddy System and Cooperation.

NEC is working on having all the ESN Guidelines in one place: the web page guidelines.esn.org. We are waiting for the release of Sattellite 4, but the webpage will include the Section Guide, CI manual & Logo Guidelines, Event Guidelines, Project Guidelines (SE guide, Erasmus in Schools, Responsible Party), Satellite manual, Newbie Guide, Cooperation Guide, Team Building Guide, Social Media Bible, NB Guide, History book, alumni guide, etc.

AGM - Annual General Meeting

AAT AGM Advisory Team

The Annual General Meeting, also known as the AGM, is the main decision-making body of ESN International. All the official sections of the network are invited to the AGM to decide about how the network should be run the following year, which makes it the biggest ESN event. The NEC-project team is formed by experienced members who support the Vice President in monitoring the organisation of the event  throughout the year, and help the Organisation Committee (OC) of the AGM with advices and knowledge. The team also contributes to updating the AGM guidelines in order to keep experiences in the network.

AGM feedback analysis

There is a small but dedicated team whose members evaluate the feedback of the AGM participants in order to provide the results and derive recommendations for improvements to the Vice President, the AAT  and to future OCs.

Management of non-statutory meetings

Regional Platforms

Regional Platforms are informal meetings during which the members of the five different European regions (Northern Europe, Western Europe, South-Western Europe, South-Eastern Europe and Central Europe) are meeting to discuss rather specific regional matters or topics for the AGM, exchange best practices about local activities and start partnerships with other sections. This meeting is a good way for ESNers of different experience levels to mix; experienced ESNers can share their knowledge and the new ones have the chance to “taste” some ESN spirit as well as to bring some fresh ideas to the network.

The project team analyses feedback after the RPs, updates the guidelines and supports the Organisation Committees (OCs) of the ESN events during their planning.

NBM

The NBM (National Boards' Meeting) is meant to gather ESNers from different ESN countries who hold a position in the National Boards of their countries. This meeting provides a platform especially for the NB members to discuss international and national matters, to share experiences, exchange ideas and to support each other with good ideas for their projects, activities and tools.

The NBM responsible person is working closely with the representative of the NBs and provides support to the OC for the realisation of this meeting and the updating of the guidelines.

CoMeet

CoMeet is the meeting of all Committees. The aim of the meeting is to give the ESN International Committees a possibility to meet each other and work within their own committee. Furthermore, it aims to strengthen the cooperation with other Committees, and work on the future strategy together with the Board, since the committees are supporting working groups in the field of the respective Board member in charge. Only members of the Education, Communication, Network & Events, IT and Finance Committee can participate to the meeting. The project team analyses feedback from the Comeet participants, updates the guidelines and supports the Organisation Committees (OCs) of the ESN events during their planning.

Cultural Medley

The Cultural Medley (CM) offers the ESN feeling at its best! ESNers from different countries meet to learn, see, taste and feel the culture of the hosting country, but of course also of each participant’s one. The purpose of the Cultural Medley is for a country or a city to present itself to the network. Participants are taken on a tour of cultural, historical and social heritage. In the end, it is all about socializing and getting to know the country, its ESN members and other ESNers from all over Europe without working. A true Pallomeri feeling! The project team analyses feedback from CM participants, updates the guidelines and supports the Organisation Committees (OCs) of the ESN events during their planning.

ERS - Event Registration System

In order to provide smooth registration for all ESN Events, ERS was developed. The project team prepared a functional design of this new IT tool. Now the implementation of the project is held under the supervision of WPA.
